JOB SUMMARY

We are seeking a detail-oriented and customer-focused Administrative & Data Entry Coordinator to support our company’s administrative, accounting, and operational needs. This role combines data management, customer service, and basic accounting functions such as billing and invoicing. The ideal candidate will have strong organizational skills, accuracy in data entry, and the ability to effectively interact with both internal teams and external customers.

REQUIRED SKILLS/ABILITIES

  • Strong attention to detail with a high level of accuracy in data entry.
  • Proficiency in Microsoft Office Suite (especially Excel) and ability to learn warehouse and accounting software.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks.
  • Excellent communication skills for interacting with customers and colleagues.
  • Basic understanding of accounting and billing processes.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Familiarity with the shipping, receiving, or trucking industry preferred.

EDUCATION AND EXPERIENCE

  • Knowledge of shipping/receiving and the trucking industry is desirable but not required
  • Ability to sit for prolonged periods.
Responsibilities
  • Data Entry & Recordkeeping: Accurately enter, update, and verify data in company databases, spreadsheets, and warehouse management software to ensure data integrity.
  • File Management: Organize and maintain both paper and electronic records to ensure easy accessibility.
  • Customer Service: Interact with customers via phone, email, or in person to provide information, resolve issues, and ensure a positive service experience.
  • Billing & Invoicing: Prepare, process, and review customer invoices; gather and validate billing data; follow up on discrepancies.
  • Accounting Support: Assist with accounts receivable tracking, payment posting, and basic reconciliation tasks.
  • Problem Resolution: Identify and resolve data discrepancies, service issues, and customer concerns in a timely manner.
  • Safety & Compliance: Follow all company safety policies and industry regulations.
  • Other Duties: Perform additional administrative or accounting-related tasks as assigned.
