ABOUT THE ALLENTOWN PARKING AUTHORITY The Allentown Parking Authority is a non-profit municipal authority incorporated under the laws of the Commonwealth of Pennsylvania. Established through legislation passed by the Allentown City Council, the Authority is governed by a five-member Board of Directors appointed by the Mayor of Allentown. The APA manages, supervises, and administers an efficient system of both on-street metered parking and off-street parking within the City of Allentown, including 1,500 metered spaces, six garages, and 22 surface lots. Our mission is to operate, monitor, and maintain convenient and accessible parking facilities and on-street parking opportunities — balancing the needs of residents, employees, businesses, property owners, and visitors. The Administrative Executive Assistant provides administrative support to the Executive Director and three Deputy Directors. This individual plays a key role in ensuring efficient daily operations across departments by assisting with tasks such as handicap parking applications, internal appeals, and other special projects as assigned. Essential Functions Provide administrative support to the Executive Director and Deputy Directors. Assist with handicap parking applications and related recordkeeping. Support the internal appeals process by being fair and objective, communicating with both the customer service and the enforcement departments. Draft and proofread internal and external communications. Maintain organized filing systems ensure confidentiality of sensitive materials. Assist with scheduling, meeting coordination, and follow-up tasks. Perform other duties and projects assigned by management. Ensure discretion and confidentiality of sensitive materials Requirements High school diploma or equivalent; Associate degree preferred. Minimum 2 years of experience as an administrative assistant or in a clerical role. Proficient in computer use, including data entry and spreadsheet management. Valid driver’s license required. Demonstrated attention to detail and accuracy in all work. Ability to remain fair and objective when handling sensitive matters. Successful completion of background screening, including criminal and credit record checks. Preferred Qualifications Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook). Clerical experience with strong attention to detail and accuracy. Bilingual (Spanish-speaking) preferred. Excellent organizational, planning, and time management skills. Strong written and verbal communication abilities. Professional demeanor with strong interpersonal skills. Flexible, self-motivated, team-oriented, and capable of managing multiple priorities. Working Conditions Primarily office-based, with occasional travel to off-site program locations. Occasional out-of-town or overnight trips may be required.
