Responsibilities

The Administrative Executive will provide essential administrative and office support to ensure smooth day-to-day operations of the organisation.

Key responsibilities include:

  • Manage general office operations and ensure a well-organised work environment.
  • Handle incoming calls, emails, and correspondence efficiently.
  • Coordinate office supplies, inventory, and equipment maintenance.
  • Attending, answering, and generating sales quotations/orders/deliveries/PO.
  • Coordinating and following up on shipment arrangements and ensuring all parties are kept informed about the progress of shipment, preparing the product for delivery to clients i.e. packing and collection.
  • Supporting the team in collecting, preparing, and delivering goods to stores/clients’ premises/sites) when needed.
  • Preparing and issuing of Tax Invoices/SOA.
  • Maintain office supplies and coordinate with vendors for procurement.Prepare, review, and manage documents, reports, and presentations.
  • Maintain organised filing systems for easy retrieval of records.
  • Assist in data entry, database management, and record updates, including inventory records.
  • Prepare meeting agendas, minutes, and follow-up actions.
  • Provide administrative assistance to managers and departments as required.
  • Handle ad-hoc administrative tasks as assigned.
