JOB OVERVIEW

The Administrative & Human Resources Manager ensures smooth HR systems and core administrative functions for PVO. This role manages recruitment, onboarding, benefits, compliance, and staff support. The HR Manager partners closely with the Director of Organizing to maintain strong staff-facing systems and a supportive organizational culture. The roles also supports the Director of Organizing with maintaining an efficient and compliant workplace.

QUALIFICATIONS

Required

  • Ability to work varied hours including nights, weekends.
  • Valid California driver’s license and satisfactory driving record and regular access to your own transportation.
  • Must be able and willing to travel occasionally, primarily in state and occasionally to other states.
  • Proficiency with PC operating systems, Google Docs, and MS Office Suite (especially Excel, Word and PowerPoint).
  • Frequently required to lift, push, pull up to 30 pounds; daily work will include sitting, standing, and walking for prolonged periods of time
  • 5–7 years HR and/or nonprofit admin experience
  • Knowledge of employment law, HR best practices
  • Strong interpersonal, written, and communication skills
  • Ability to handle confidential matters with discretion

Human Resources

  • Administer and manage health benefits, retirement plans, PTO tracking, and leave of absence policies
  • Support maintenance and creation of job descriptions
  • Lead recruitment, hiring, onboarding, and staff development
  • Maintain HR policies, handbooks, and performance protocols
  • Serve as the point of contact for employee relations
  • Ensure compliance with labor laws and HR best practices
  • Comply with all Federal, State and Local employment laws, including wage and hour laws and anti-discrimination laws
  • Maintain confidential and organized personnel files
  • Keep I-9s, timecards, evaluations, and disciplinary records per retention laws
  • Use secure methods for storing and disposing of sensitive documents
  • Ensure accurate employee classification (exempt vs. non-exempt)
  • Support managers by building out HR materials (interview questions and rubrics, staff evaluations, accommodation documentation, performance improvement plans, etc.)
  • Create policies around DEI, remote work, and workplace safety
  • Correspondence and engagement with employment attorneys as neede

  • Maintain organizational and program calendars
  • Support logistics for meetings, trainings, and events
  • Maintain office inventory, supplies, and equipment
  • Support Board meetings with agendas and packets
  • Scheduling meetings as needed
  • Running payroll, ensuring timesheet accuracy
  • Fiscal data entry and bookkeeping tasks
  • Making travel arrangements
  • Ordering and organizing mutual aid materials
  • Other special projects as assigned

Compliance & Support

  • Track HR-related compliance documents for audits.
  • Ensure required Federal, State, and Local filings and registrations are current.
  • Support workplace health & safety policies
  • Partner with IT Coordinator to ensure smooth onboarding/offboarding of staff technology
