We are looking for a highly organized, proactive, and execution-focused Administrative Manager to manage and streamline office administration, facilities, vendor management, employee support operations, and overall workplace governance for our India operations. Position Details Role: Administrative Manager / Admin Operations Manager Location: Bengaluru Work Mode: Work from Office Experience: 8–15 Years Employment Type: Full-Time Role Overview The Administrative Manager will be responsible for managing the day-to-day administrative operations of the organization while ensuring smooth office functioning, compliance, infrastructure coordination, employee facilities management, travel coordination, procurement support, and vendor governance. This role requires a strong ownership mindset, operational discipline, cost management focus, and the ability to support a fast-growing technology organization operating in a dynamic environment. The ideal candidate should be capable of handling administration independently with minimal supervision while collaborating effectively with leadership, HR, Finance, IT, and external vendors. Key Responsibilities Office Administration & Facility Management Manage complete office administration and daily operational activities Ensure smooth functioning of office infrastructure, seating, meeting rooms, cafeteria, housekeeping, security, and utilities Coordinate maintenance activities for office premises and equipment Ensure workplace hygiene, safety, and operational readiness at all times Manage office expansion, relocation, and infrastructure setup activities if required Vendor & Procurement Management Manage office vendors including housekeeping, security, travel, facility maintenance, internet providers, transport, and pantry vendors Negotiate pricing, contracts, renewals, and SLAs with vendors Track vendor performance and ensure timely issue resolution Support procurement activities for office assets, consumables, and operational requirements Maintain asset inventory and procurement records Employee Support Operations Support employee onboarding logistics including workstation readiness, ID cards, seating allocation, and access coordination Manage employee travel bookings, accommodation arrangements, and transport coordination Handle guest management and visitor coordination Ensure a smooth employee experience related to administrative support services Compliance & Governance Ensure adherence to office policies, statutory requirements, safety standards, and internal governance processes Coordinate with Finance, HR, IT, and leadership teams for operational compliance Maintain administration-related documentation, contracts, invoices, and records Support audits and operational reviews when required Budget & Cost Management Track administration and facilities budgets Identify opportunities for operational efficiency and cost optimization Monitor recurring operational expenses and vendor billing Prepare MIS reports and administration dashboards for leadership review Coordination & Leadership Coordinate with cross-functional teams for the smooth execution of operational activities Manage administration support staff and facility teams Drive accountability, discipline, and responsiveness within the admin function Act as a single point of contact for office operational escalations Required Skills & Qualifications 8–15 years of experience in administration, facilities management, workplace operations, or corporate services Experience managing administration for IT services, technology, or corporate organizations is preferred Strong vendor management and negotiation skills Good understanding of office infrastructure, facilities operations, and compliance requirements Strong coordination and multitasking abilities Excellent communication and stakeholder management skills Strong ownership mindset and execution capability Proficiency in Microsoft Excel, Word, PowerPoint, and reporting tools Ability to work in a fast-paced and evolving environment Preferred Qualifications Experience handling administration for medium to large corporate offices Exposure to budgeting and cost control Experience managing multiple vendors and operational teams Familiarity with workplace safety and statutory compliance practices Prior experience supporting leadership teams and fast-growing organizations What We Are Looking For We are looking for someone who: Takes complete ownership of office operations Is highly dependable and execution-oriented Can independently manage operational challenges Brings discipline, structure, and accountability Has strong attention to detail and follow-through Can support a high-performance work culture Why Join Atlas Systems Opportunity to work with global teams and enterprise customers Exposure to fast-growing technology and service environments Collaborative and execution-focused work culture Opportunity to build and streamline operational excellence initiatives High ownership and visibility role
