EXPERIENCE

  • Previous experience in office/hospital/clinic/seniors setting is preferred but not required.
  • Proficiency in Google Suite applications (Docs, Sheets, Drive).
  • Familiarity with phone systems and basic troubleshooting skills.
  • Strong data entry skills with attention to detail for accurate record keeping.
  • Excellent proofreading abilities to ensure high-quality documentation.
  • Prior experience in an administrative role is beneficial, showcasing your ability to manage multiple tasks effectively.
  • A background in office management or coordination will be advantageous.

Responsibilities
  • Manage front desk operations, including greeting residents, families, guests, and staff in a friendly and professional manner
  • Answer and direct phone calls, emails, and inquiries promptly and accurately
  • Monitor visitor sign-ins and ensure compliance with safety protocols
  • Provide residents with general information, schedules, and updates on facility events or services
  • Submit a daily shift report to management
  • Perform accurate and efficient data entry to maintain up-to-date records
  • Coordinate and schedule facility tours for prospective residents
  • Assist with administrative tasks such as filing, proofreading documents, and preparing reports
  • Maintain daily kitchen inventory and ensure records are current
  • Collect monthly rent cheques from residents and maintain accurate financial tracking and data entry
  • Assist in onboarding new residents by preparing welcome packages and providing orientation materials
  • daily log/monitoring kitchen supply inventory as needed
  • Schedule and liaise with contractors and vendors for maintenance or service needs
  • Ensure front desk and office areas remain clean, organized, and compliant with health regulations
  • Collaborate with team members to improve office workflows and enhance the resident experience
