ABOUT US:

AIRO Landscapes is a leading landscape design and installation company dedicated to creating beautiful outdoor spaces for our clients. We are looking for a highly organized, detail-oriented, and proactive Administrative & Marketing Coordinator to join our team. This role requires someone who can effectively multitask, manage administrative duties, assist with bookkeeping, and drive marketing initiatives, including social media management.

QUALIFICATIONS:

  • Experience in administration, bookkeeping, or marketing (preferred but not required).
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and bookkeeping software (e.g., Quickbooks or Sage).
  • Familiarity with social media platforms and content creation tools (Canva, Meta Business Suite, Buffer, etc.).
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
Responsibilities

RESPONSIBILITIES:ADMINISTRATIVE TASKS:

  • Handle phone calls, emails, and client inquiries professionally and efficiently.
  • Schedule appointments, meetings, and site visits.
  • Maintain and update client records and project files.
  • Assist with preparing proposals, contracts, and invoices.
  • Order office and project supplies as needed.
  • Provide general administrative support to the team.

MARKETING TASKS:

  • Manage and update the company’s social media accounts (Facebook, Instagram, LinkedIn, etc.).
  • Create engaging content, including posts, stories, and videos, to showcase our projects and services.
  • Assist in developing marketing campaigns and promotional materials.
  • Monitor social media engagement and respond to comments/messages.
  • Update the company website with new projects, blog posts, and announcements.
  • Assist with email newsletters and client communications.

BOOKKEEPING TASKS:

  • Process invoices, payments, and expense reports.
  • Assist with accounts payable and receivable.
  • Maintain financial records and data entry in accounting software (e.g., QuickBooks / Sage).
  • Support payroll and tax-related administrative duties.
  • Reconcile bank statements and track expenses.
