JOB REQUIREMENTS:
The Administrative Medical Assistant is responsible for providing nursing services through the full continuum at Integrity House. The Administrative Medical Assistant is a part of a multidisciplinary team including nursing, social workers, addiction counselors, doctors, and peer recovery specialists. The Administrative Medical Assistant will collaborate with the medical practitioners and other nursing staff for day to day operations and client care. The Administrative Medical Assistant will be responsible for ensuring all clients receive medications in a timely fashion, proper follow up for care, and other responsibilities as assigned. The Administrative Medical Assistant is responsible for executing strategy and interventions related to all organizational/strategic changes, enhancing existing services, and positive outcomes with direction from the Director of Nursing. The Administrative Medical Assistant may serve in a matrix organizational structure, participating in a variety of ad hoc initiatives to achieve the mission and vision of the organization. This is a direct service part time level position. The schedules will be determined based on organizational need. The Administrative Medical Assistant is required to work on observed holidays, either based on rotation or as scheduled to ensure adequate coverage of the facilities at all time. The work schedule may change at any time in response to organizational need. While the Administrative Medical Assistant will be hired with a base program, the Administrative Medical Assistant may be placed at any Integrity House location to meet an organizational need, as identified by the Director of Nursing.
1. Maintain compliance with applicable licensing, regulatory, and accreditation standards:
a) Participate in audits/inspections as needed.
b) Ensuring the coordination and integration of nursing services with other client care services to ensure continuity of care for each client;
c) Reporting requirements as outlined by Department of Health and/or Center for Disease Control (CDC)
d) Maintain compliance with but not limited to the NJ Department of Health regulations for residential substance use disorder treatment programs, outpatient substance use disorder treatment programs, outpatient mental health treatment programs, DEA, CARF, etc.
2. Deliver High-Quality Nursing Care
a) Help patients by providing information, services, and assistance.
b) Maintain medical supplies inventory and performing preventive maintenance to keep medical equipment operating.
c) Verify patient information by interviewing patient, recording medical history, and confirming purpose of visit.
d) Assist nursing and medical staff with office procedures, including administrative and clerical functions.
e) Secure patient information and maintain patient confidence by completing and safeguarding protected health information
f) Schedule appointments, verifying availability and preparing charts with consent forms.
g) Engages in coding, billing, and bookkeeping.
h) Documents all services delivered in the client electronic health record following service delivery.
i) Receives and inventories medications, including delivery to units, picking up medications from unit, and delivery of supplies to units.
j) Conducts audits of medication administration records and medication carts as scheduled.
k) Ensures all services are documented by the providers following the service.
l) Facilitate for providers and deliver services through telehealth, as needed.
m) Facilitates client admission, discharge, transfer, and orientation to the program in accordance with program protocols.
n) Assures controlled substances and syringes are secured and inventoried in accordance with organizational policies and regulatory standards.
o) Complete a shift report at the end of every shift to ensure all staff are informed of operations and department/client needs.
p) Collaborate with external partners (i.e. pharmacy, lab, disposal services, etc.) to ensure patient care and timely response.
q) Review documentation post emergency department visits and specialty appointments offsite, and complete necessary care coordination for follow up care.
r) Adhere with all applicable organizational policies and workflows related to medical functions.
3. Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
4. Maintains a cooperative relationship among health care teams by communicating information; responding to requests; building rapport; participating in team problem solving methods.
5. All other items as assigned by supervisor, to meet organizational needs.
