  Administrative Ministerial Officer / Assistant Appointments Officer Division Support and Public Accountability     Principal location – Parramatta - Flexible working arrangements maybe negotiated. Employment type – Ongoing – Full time (35 hours) Salary – Clerk Grade 3/4, Base Salary ($84,659 - $92,701), plus employer’s contribution to superannuation and annual leave loading   Note: This is a single advertisement for two separate roles.   Your role   Join the Division Support and Public Accountability (DSPA) team and play a key role in supporting high-quality ministerial and appointment services. These roles provide essential administrative and records management support across ministerial correspondence, briefings and statutory appointments processes.   This is a great opportunity to contribute to work that supports executive government decision-making, develop your expertise in electronic document and records management systems (EDRMS), and build strong public sector administration skills within a collaborative and high-performing team.   What you’ll do   As part of the Division Support and Public Accountability (DSPA) team, you will provide high-quality administrative and records management support to ensure the effective operation of ministerial and appointment services functions.   You will manage, coordinate and support document workflows, contribute to process improvements, and help ensure compliance with governance and record-keeping standards in a high-volume environment.   You will also: Register, track, update and finalise records within EDRMS (TRIM and MiniApp) Conduct system searches, create and manage containers/files, and maintain accurate data integrity Prepare routine correspondence, memoranda, documentation and basic reports Analyse correspondence to determine prioritisation and appropriate processing pathways Support the coordination and management of ministerial and departmental documentation Assist with appointment processes, including administrative support for statutory office holders Respond to enquiries, escalating or redirecting matters as required Provide general administrative and support in line with agency procedures Contribute to continuous improvement initiatives to enhance administrative processes Work as part of a collaborative and supportive team committed to accuracy, accountability and service excellence.   What we’re looking for   Experience using EDRMS (including TRIM and/or MiniApp), and Microsoft Outlook, Word and Excel, including basic reporting functions. Strong attention to detail with demonstrated ability to manage records accurately and maintain data integrity in line with legislative and organisational requirements. Proven ability to manage competing priorities, meet tight deadlines and maintain quality in a high-volume, time-critical environment.
