POSITION SUMMARY

LMI Calgary is seeking an Administrative Assistant to support daily office operations, facilitate clear communication across departments, and maintain accurate records. This position is ideal for a proactive, detail-oriented individual who thrives in a fast-paced food production environment. The role involves handling sensitive financial and employee data with precision and discretion. A minimum of one year of relevant experience is required.

QUALIFICATIONS

  • 1+ year in admin or office support, ideally in manufacturing or food production
  • Strong organization, multitasking, and attention to detail
  • Skilled in Microsoft Office and digital filing systems
  • Familiar with invoicing and expense tracking
  • Clear communicator with discretion handling sensitive data
Responsibilities

Office Administration
- Manage front desk operations, incoming calls, customer service, and greeting visitors on site.
- Maintain office supplies and coordinate vendor procurement.
- Organize and file documents, including contracts, onboarding forms, and payroll records.
- Schedule meetings and coordinate logistics for internal teams.
Employee & HR Coordination
- Assist with onboarding, collecting required documentation (e.g., ID, void cheque, work permits).
- Maintain employee profiles and timesheet records in coordination with payroll.
- Liaise with HR and management to ensure compliance with employment standards and policies.
Finance & Data Management
- Process invoices, expense reports.
- Support budget tracking and financial reporting.
- Ensure accurate data entry for payroll, vendor payments, and production records.
- Uphold confidentiality and integrity of financial and employee information.
Cross-Departmental Communication & Documentation
- Act as a liaison between departments such as production, logistics, and quality assurance.
- Support internal communications and prepare audits or reviews.
- Maintain and update SOPs, meeting minutes and key documents.
