JOB SUMMARY

  • As our Administrative & Office Support Coordinator, you’re the front-of-house pro who keeps everything running smoothly—greeting guests, managing calendars and meeting follow-ups, keeping spaces immaculate, and ensuring supplies are stocked.
  • You’ll also support the CEO, CFO, and COO with polished admin help, light accounting and HR tasks, and occasional projects that make a visible difference across the company.

REQUIRED SKILLS & EXPERIENCE

  • 2+ years in administrative or office support roles (front desk/reception experience a plus)
  • Strong organizational skills with exceptional follow-through; dependable, consistent, and calm under pressure
  • Comfortable supporting multiple leaders and re-prioritizing as needed; proactive and resourceful
  • Proficiency with Microsoft Office (Outlook, Excel, Word); QuickBooks Online (preferred); and CRM platforms (Jobber preferred)
  • Tech-savvy and confident with common business software and internet tools
  • Friendly, team-oriented communicator with solid written and verbal skills
  • Able to sit for long periods, work on screens, answer phones, bend/reach/stretch, and occasionally lift up to 25 lbs.

    Pay: $20.00 - $25.00 per hour

Responsibilities
  • Front Desk & Office Administration: Greet guests and vendors; maintain reception standards and daily checklists; manage calendars, meeting follow-ups, conference room scheduling, vendor relationships, and staff event logistics; keep lobby, kitchen, and supply areas clean and organized; manage monthly supply ordering and inventory.
  • Executive & Team Support: Provide admin support to CEO/CFO/COO; take meeting notes and distribute recaps; assist with client gift ordering, appointment confirmations, document prep, and occasional executive errands/logistics.
  • Basic Accounting & Filing: Support A/P, A/R, and HR filing; enter data and file receipts; assist with year-end file cleanup; work in Jobber for credit card receipt tracking and vendor data; compile and distribute twice-monthly payroll reports; maintain spreadsheets for insurance and asset tracking.
  • HR & Training Support: Assist with onboarding paperwork and offboarding checklists; track employee training; support incident reporting, accident documentation, workers’ comp communication, and compliance documentation.
  • Operations & Maintenance: Oversee car wash and windshield repair schedules; assist with basic office safety procedures and equipment checks; run errands such as bank deposits, recycling, or vendor drop-offs as needed.
  • As-Needed Projects: Support sales of warehouse items or donated inventory; assist with holiday installations/decorating and seasonal event prep; coordinate charitable donations; handle special research or project tasks as assigned.
