The Administrative Officer plays a central role in ensuring smooth daily operations across the company. Acting as the first point of contact for visitors while supporting multiple departments (HR, Finance, and Office Management), this role combines front-of-house responsibilities with strong organisational and administrative support. This position requires a highly organised, proactive professional who can manage competing priorities, maintain confidentiality, and deliver a professional employee and visitor experience. Key Responsibilities 1. Front Office and Facilities Management Serve as the first point of contact for visitors, clients, and candidates Handle incoming calls, emails, and correspondence Coordinate meeting logistics, manage meeting room bookings and set-up Order supplies and manage vendors Liaise with building management and service providers (cleaning, maintenance, etc.) 2. HR Administrative Support Coordinate interview scheduling (in-person and virtual) Support new hire onboarding processes by preparing onboarding materials, coordinate induction schedules, collect employee documentation Draft new hire announcements across the organisation Maintain absence records and support absence tracking processes Assist with HR data entry and document management (ensuring GDPR compliance) Support planning and coordination of internal events 3. Financial & Administrative Support Support invoicing processes by preparing and issuing basic invoices and by tracking invoice status and follow up as needed Assist Finance with expense documentation and recordkeeping Coordinate vendor and supplier administrative communication Essential Proven experience in an administrative, office coordination, or receptionist role Fluent in Greek and in English Strong organisational and multitasking abilities Excellent communication and interpersonal skills Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel) Ability to work cross-functionally and manage multiple stakeholders High attention to detail and confidentiality awareness Preferred Experience in HR or Finance administrative support Experience in a fast-paced or tech environment Familiarity with HRIS or finance tools Key Competencies Customer-service mindset (internal and external stakeholders) Proactivity and problem-solving Flexibility and adaptability Strong time management and prioritisation Professional presence and communication Reporting Line Reports to: HR Director and CFO Works closely with HR, Finance, and Leadership teams Competitive salary package commensurate with experience.
