Job Overview Northeastern Air Quality is seeking a highly organised and proactive Administrative Officer to join our dedicated team. This is a Full-Time position based in our office in Maryland City, Maryland, United States. As a key member of our team, you will be responsible for ensuring the smooth and efficient operation of our office, providing crucial support to our environmental consultants. Northeastern Air Quality is a leading provider of air quality testing and assessment services for both residential and commercial clients. This role is central to helping us achieve our mission of promoting healthier air standards for all. Responsibilities * Manage day-to-day office operations to ensure a well-organised and efficient work environment. * Coordinate appointments, meetings, and schedules for our team of consultants and manage client communications. * Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy. * Maintain and organise company records, including client files and project documentation, both physically and digitally. * Handle incoming calls and emails, acting as the first point of contact for many of our clients. * Assist with basic financial tasks such as processing invoices and tracking office expenses. * Order office supplies and manage relationships with vendors and service providers. * Support the team with travel arrangements and the organisation of company events. Qualifications * Proven experience in an administrative role, such as an Administrative Officer, Office Administrator, or a similar position. * Exceptional organisational and time-management skills with the ability to manage multiple tasks and prioritise effectively. * Proficient in the full Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). * Excellent written and verbal communication skills, with a professional and courteous manner. * Strong attention to detail and a commitment to producing high-quality work. * A proactive approach to problem-solving and the ability to work independently. * A-levels or equivalent qualification; a degree in Business Administration or a related field is desirable. * A genuine interest in environmental issues would be a significant advantage.
