Primary objective
Provide high-quality and confidential secretarial and administrative support services to Youth Justice Programs, Youth
Justice and teams within the Division.
Key duties and responsibilities
1. Provide support to staff on Northern Territory Government (NTG), Department and work unit administrative processes
and procedures including procurement, finance, booking flights, accommodation and vehicle transport for staff, young
people and external clients ensuring compliance with NTG and the Department’s policies and procedures.
2. Provide secretarial support to Youth Justice Programs including taking meeting minutes, formulate agendas, distribute
background papers, co-ordinate venue bookings and catering, and coordinate teleconference requirements.
3. Ensure that all hard copy and electronic documents are filed in accordance with approved records management
processes and security requirements.
4. Contribute to continuously improve the efficient and effective administrative processes within Youth Justice Programs.
5. Any other duties as directed by the Director, Youth Justice Programs.
Selection criteria
Essential
1. Well-developed organisational skills with a flexible attitude and ability to adapt to changing priorities, determine
workload priorities, meet stringent deadlines and capacity to work under pressure.
2. Sound knowledge and experience in administrative processes including finance and travel, organising meetings and
functions, and managing busy and regularly changing diary schedules and daily priorities.
3. Well-developed knowledge of a wide range of computer software packages, including word processing, records
management, spreadsheets, databases and major business systems or the ability to quickly obtain.
4. Well-developed interpersonal skills, including the ability to liaise effectively at all levels, using sound written and verbal
communication skills.
5. The ability to be discrete, maintain confidentiality and discern sensitive issues.
Desirable
1. Qualifications in office administration or equivalent.
2. A current C class Driver’s License or equivalent, physically able to drive 4x4 vehicles and travel by various means
including light aircraft.
