Responsibilities

YOUR KEY RESPONSIBILITIES

The Administrative Officer serves as administrative support within a department who provide comprehensive quality services for the department. The successful incumbent must be able to work independently, under tight datelines and handles a wide variety of activities and confidential matters with discretion. The tasks involved include handling calls, processing accounts, handling of correspondence, expenses and leave verification and office coordination. Other than that, your responsibilities include:

  • Photocopying/scanning – assist in photocopying and scanning of project related documents at the office and client’s office.
  • Reports – printing of tabs, printing of reports and appendices and exhibits, collation of documents and binding of client reports
  • Conducting company and individual searches through search engines like RAMCI and SSM and doing relationship mapping
  • Equipment inventory – requisition for purchase and monitoring of FTDS asset movements e.g. HDDs internal and external, USB thumb drives, laptops, imaging equipment, etc.
  • Filing/archiving – maintaining a list of documents to be and have already been archived in the warehouse.
  • Help in fieldwork activity (if needed) – email reading and deciphering audio clips, as and when required
  • Booking accommodations and flights, unless EA is not available.
  • General administrative duties – stationery requests, preparation of invoices, GFIS payment requests, etc.
  • Liaising with clients whenever the need arises
  • Assisting and supporting the Partners in the absence of the Executive Assistant

TO QUALIFY FOR THE ROLE YOU MUST HAVE

  • At least Diploma in Business Administration / Management, or a related field
  • Minimum of 2 years of work experience in the related field
