Part time 0.5FTE, 12 months fixed term Exciting opportunity for a highly driven and dynamic Clinical and Research Administration Officer to join the team Base Salary $51,593 (pro-rata) + 17% superannuation About the opportunity We are seeking a professional, proactive, and highly organised Clinical and Research Administration Officer to provide front-line administrative and operational support within our busy clinic and research reception area on Level 5. This role is a key first point of contact for research participants, clinical clients, students, and academic staff within the Faculty of Medicine and Health (FMH). As front office staff for the Clinic and Research facilities you will be part of an efficient cohesive team which supports all aspects of the Clinic and Research operations in the Susan Wakil Health Building. The Clinic Reception operates from 8am to 6pm Monday to Friday. Your key responsibilities will be to: manning the front reception desk, providing a welcoming and professional first point of contact for students, clients, and visitors coordinating clinic and research appointments, including pre-booking sessions and processing car parking validations managing client billing and payments (EFTPOS, online payments, and student levies for the clinic) handling incoming calls and emails, providing accurate information, and escalating matters appropriately assisting students and staff with use of key systems, including: Penelope – client and patient management system Service Portal – raising service and maintenance requests UniBuy – ordering consumables and supplies CROS – central recording operating system Canvas – updating student resources and communications Liberty – managing student library resources SONIA – administration of students personal radiation monitor records supporting research and academic staff with administrative tasks, record keeping, and data entry delivering induction sessions for students and staff and confidently presenting information and guiding users on systems such as Penelope and clinic procedures preparing and maintaining manuals, quick guides, and templates using Microsoft Office, Excel, and Adobe facilitate communication between students and clients, ensuring records are updated accurately in Penelope and correspondence is handled professionally supporting stakeholder engagement across the Faculty, including academics, students, research teams, and external clients. About you strong customer service and interpersonal skills, with the ability to engage professionally with diverse stakeholders. confidence in presenting, explaining procedures, and supporting others to use university systems excellent attention to detail, time management, and the ability to prioritise competing demands proven experience using enterprise systems such as Penelope, UniBuy, Canvas, CROS, and SONIA (or similar) proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe tools for documentation and communication. proactive, solutions-focused attitude with a commitment to supporting both research and clinical operations.
