Responsibilities

ROLE PURPOSE

The Administrative Assistant will support the charity by assisting with grants, coordinating volunteers, and helping run program development. This role includes preparing funding documents, supporting program planning, and providing administrative assistance to ensure smooth and effective delivery of the charity’s services.

KEY RESPONSIBILITIES

  • Assist with drafting and editing grant applications, funding proposals, and reports. Gather and maintain supporting documents required for grant submissions and acquittals. Track grant deadlines, application progress, and reporting requirements.
  • Support program development by helping design, document, and organise program activities.
  • Assist in monitoring program outcomes, collecting data, and preparing progress reports, impact report, and surveys
  • Coordinate volunteer recruitment, onboarding, schedules, and communications.
  • Provide administrative support including filing, data entry, photocopying, and preparing correspondence.
  • Manage calls, emails, and enquiries, directing them to the right team member.
  • Maintain accurate databases, mailing lists, and program records.
  • Ensure confidentiality and safe handling of sensitive information.
  • Contribute to a positive, supportive, and professional work environment.
  • Take and process food/catering orders for events, programs, and meetings.
  • Liaise with the kitchen or catering team to ensure orders are prepared and delivered correctly and on time.
  • Ensure all catering orders are accurately invoiced and records are maintained.
