Description
Oikonomakis Law, acting on behalf of one of its corporate clients, is seeking to fill a key Administrative Officer position for a company operating in UAE. This is a full-time, remote position, requiring the successful candidate to handle the company’s administrative and secretarial operations. Key responsibilities A. To handle inquiries from customers (received by email) • Forward them to suppliers to obtain quotations (with our guidance) • Follow up with the suppliers to reply with an offer • Receive the parameters needed to convey to client with the offer (final price, delivery time, any discount if applicable, remarks etc) • Typing/preparation of the final offer via ERP to the client B. To handle incoming orders from clients (received by email) • Track the offer in which the order was based on • Prepare/send the order to the suppliers • Prepare the paperwork/supporting documents of the order via ERP (order acknowledgement, packing lists, labels, proforma invoice) • Follow up with the suppliers for the readiness • Send readiness advise by email to the client with packing details of the order and follow up with them for the final dispatch of the order (offer for transportation cost may be needed to provide to customer) C. To invoice completed orders via ERP and send invoices to clients’ designated email addresses. Excellent command of English (written and spoken). Knowledge of Odoo software will be appreciated. ERP knowledge. Office suite knowledge. WINDOWS and IOS knowledge. Minimum 3–5 years of professional experience in administration or executive support. Strong multi-tasking, organizational and communication skills. Good understanding of administrative processes. Integrity, professionalism, and discretion are essential.
