Responsibilities

WHO YOUR ROLE MATTERS:

The Administrator Officer will provide effective day-to-day administrative support within the Division of Societal Impact, Equity and Engagement (SIEE) to ensure all services are provided efficiently to meet the operating needs of the division. This includes purchasing, on site support, co- ordinating meetings, IT and equipment procurement and other administrative support as required.
The role of Administrator reports to the Operations Manager and has no direct reports.

RESPONSIBILITIES:

  • Provide high level administrative support to the Division of Societal Impact, Equity and Engagement and other nominated teams across Division.
  • Undertake administrative tasks including purchasing, reimbursements and credit card acquittals, FSAM, systems access, PiMs administration, coordination of meetings and training programs including room bookings and catering.
  • Manage and track on-boarding and off-boarding for staff in the Division of Societal Impact, Equity and Engagement.
  • Provide expert advice and support to assist in the development and delivery of presentations, reports and other detailed correspondence using PowerPoint and equivalent
  • Build and develop effective relationships with key internal & external stakeholders and their support staff, ensuring effective information flow and collaboration.
  • Assist in travel and accommodation for high level Divisional staff and guests, and manage the diary, appointments, meetings where appropriate.
  • Maintain mailing lists and other databases and information lists, and update information on websites and other communications channels
  • Manage the shared mailboxes of the Division which requires responses to a range of inquiries by developing a thorough understanding of the activities of the Division of SIEE and UNSW policies and procedures
