This is a remote position. Overview Join a growing UK-based architecture practice seeking a highly organized and detail-oriented Administrative & Operations Assistant. This full-time, remote role focuses on email management, project coordination, and smooth back-office operations. You will work closely with the business owner and a blended UK–international team, supporting daily workflows and maintaining well-structured systems that keep client projects moving efficiently. Job Highlights Number of Paid Hours Per Week: 40 hours Schedule: Monday to Friday, full-time with 1-hour unpaid break; must have at least 4 hours overlap with UK business hours Work Arrangement: Work from home Contract: Independent Contractor Side Note: Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are hourly and depend on performance in the application process. Responsibilities Monitor and manage the main office email inbox daily; categorize messages by project, priority, and status Coordinate and manage the “clinics” system (Mon/Wed/Fri email processing), including sending holding emails and preparing items for team review Set up new projects in the company system, create filing structures, and consolidate information from questionnaires, meeting notes, and other sources Follow through on administrative tasks delegated during clinic sessions Manage external consultant relationships by requesting/chasing fee proposals and tracking deliverables and timelines Draft invoices, update spreadsheets, and maintain staff records (holidays, sickness, flexi time) Prepare project profitability reports using the company timesheet system Provide PA support to the business owner as needed Send weekly Friday update emails to all active clients summarizing project status Requirements Strong email management skills with ability to categorize and prioritize effectively Experience using CRM systems and project management tools Solid administrative background with ability to handle multiple small tasks efficiently Excellent written communication skills for client-facing emails Process-oriented mindset with strong attention to detail Ability to work remote with reliable overlap during UK business hours Comfortable following established systems and communication protocols Able to collaborate with a mixed UK and Filipino remote team Independent Contractor Perks Permanent work-from-home Immediate hiring Steady freelance job Reminder Apply directly using the link provided; you will be redirected to BruntWork’s Career Site.
