Description
We're looking for an Administrative Professional to keep our office running smoothly. You'll handle scheduling, correspondence, data entry, and general office tasks that keep our team focused on their work. This role reports directly to management and touches almost every department in the company. You'll need to be organized, reliable, and comfortable switching between different types of tasks throughout the day. Responsibilities Schedule meetings, manage calendars for multiple executives, and coordinate conference rooms and equipment Answer phones, greet visitors, and direct them to the right person or department Process invoices, expense reports, and purchase orders; maintain filing systems and records Prepare documents, presentations, and reports; proofread for accuracy and formatting Order office supplies, track inventory, and manage vendor relationships Coordinate travel arrangements including flights, hotels, and ground transportation Maintain employee records, process paperwork for new hires, and handle confidential personnel documents Create and distribute internal communications, meeting minutes, and company announcements Assist with event planning and coordination for company meetings, training sessions, or client events Monitor and organize email systems, shared drives, and document management systems Handle general correspondence and follow up on action items from meetings Support multiple departments as needed, adapting to shifting priorities Requirements 2+ years of administrative or office support experience Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Strong written and verbal communication skills Ability to manage multiple tasks and deadlines without constant supervision Attention to detail and accuracy with data entry and document preparation Comfortable with confidential information and discretion Reliable transportation and ability to be in the office consistently High school diploma or equivalent Nice to Have Experience with accounting software or bookkeeping basics Familiarity with project management tools (Asana, Monday.com, etc.) Knowledge of HR systems or HRIS platforms Experience coordinating events or managing large calendars Bilingual capabilities Benefits Health insurance (medical, dental, vision) 15 days paid time off annually plus 5 paid holidays 401(k) with company match after 1 year Professional development budget for courses or certifications Flexible start/end times with core office hours Free coffee and snacks in the break room Growth opportunities into office management or HR coordinator roles
