Ohio Department of Public Safety - Ohio State Highway Patrol Report In Location - 1970 W Broad Street, Columbus 43223 Under the general supervision of the Captain of Finance & Logistics, perform non-routine administrative tasks (i.e., independently formulate decisions &/or judgments involving non-legal interpretation of policies & procedures as they would apply to given situation to resolve problems, to prepare correspondence &/or reports or to carry out other assignments): Research complex or confidential problems involving personal or financial procedures; Contact vendors & other state agencies to discuss, define & resolve problems associated with fiscal matters (i.e., processing invoices); Monitor spending & maintain fiscal records related to the vest stipend program for uniformed officers including issuance, tracking, follow-up & completion of the vest receipt; Monitor the Ohio State Highway Patrol's (OSHP) payment card program for card holders in the field &/or General Headquarters (GHQ); Maintain proper Office of Budget & Management (OBM) paperwork; Organize accounting information & statistical data for efficient storage & retrieval; Assist in writing budget justification through the development of agency budget & writing backup data & verbiage for budget requests; Provide administrative support to supervisors & other Fiscal staff by communicating decisions & directives to appropriate staff, preparing & summarize fiscal reports & coordinating acquisition &/or maintenance of general office equipment; Prepare reports & correspondences (i.e., morning, monthly &/or annual reports); Schedule & prepare materials for meetings (i.e., meeting minutes, agenda, etc.); Maintain staff calendars & coordinate schedules; Maintain confidential personnel files; Monitor fiscal filing & follow-up system; Prepare & assist supervisor with bi-weekly payroll audit; Follow-up on section policy & procedure & read & sign assignments; Handle sensitive telephone calls & direct to appropriate party as needed; Formulate payroll tracking documents & make payroll system entries related to Division special security deployments; Receive, open, log & distribute incoming mail; Answer & screen calls; Greet & direct visitors; Monitor GHQ general office supply inventory & order supplies as needed; Maintain files; Research & retrieve information for management as requested; Perform other duties as assigned. 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field. -Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/administrative professional field. -Or 12 mos. exp. as Administrative Professional 2, 16872. -Or equivalent of Minimum Class Qualifications For Employment noted above.
