Description
The Administrative Professional 4 plays an integral role at the board. The job duties of the Administrative Professional 4 will include the following: Performing complex, non-routine administrative tasks requiring independent judgment and interpretation of policies and procedures. Reviewing, summarizing, and responding to correspondence, fiscal, and personnel reports. Managing and maintaining the licensee database, ensuring accurate data entry, record updates, and responding to inquiries regarding licensing, renewals, and events. Recording incoming payments, preparing listings, and developing license status reports for promoters and national organizations. Processing accounts receivable by posting transactions, preparing deposits, and maintaining ledgers and related financial documentation. Researching and compiling information for budget development and assisting in preparing justifications and fiscal reports. Monitoring spending, maintaining fiscal records, and representing the supervisor in meetings, conferences, or staff discussions. Assisting with personnel functions such as interviewing applicants, assigning work, and communicating supervisory decisions. Coordinating meetings, events, and acquisitions while maintaining office equipment and supply inventory. Supervising and guiding lower-level administrative and clerical support staff. Performing secretarial and recordkeeping duties such as preparing fight cards, official lists, weigh-in sheets, and post-event reports. Maintaining confidential records and commission calendars, and processing travel reimbursements for the Executive Director and Commission members. Preparing payroll reports, timesheets, and handling sensitive phone calls, correspondence, and visitor interactions. Managing mail distribution, file maintenance, records retention schedules, and archival transfers. This position is in the unclassified service pursuant to Ohio Revised Code 124.11 (A)(9). Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college and 12 months of experience in secretarial/administrative professional field. Or 30 months of experience or 30 months of training in secretarial/administrative professional field. Or 12 months of experience as Administrative Professional 2,16872.
