What You'll Do: ODH is seeking to fill an Administrative Professional 4 position within the Office of General Counsel (OGC). This position will perform non-routine administrative tasks & provide secretarial support. This position will: Participation in Department of Health emergency preparedness activities may be required, consistent with public health authority and emergency response plans. Assist in the program direction of the OGC by relieving the administrator of difficult administrative duties Independently answer complex correspondence, transmit decisions & directives regarding issuance of subpoenas, payment of witness fees, & follows through with appropriate sheriff’s offices to ascertain service Schedule & prepare notifications for multi-party hearings around the state, & independently follow through with notifications to appropriate parties in case of withdrawals of requests or rescissions of notices Respond to non-legal inquiries from program staff & public regarding processes (e.g., administrative hearings, contracts) Routinely review form letters for accuracy & drafts/suggests changes Draft memos for attorney signature to Attorney General’s (AG’s) office requesting representation in court cases Maintain fiscal records on computer spreadsheets for hearing examiners, advise supervisor & GC when hearing examiner expenses near contractual limits or when encumbrances are inadequate Greet/direct visitors, screen & forward incoming calls to the appropriate party Work with vendors to obtain bids for various expenditures following fiscal requirements & guidelines, submit the supporting documentation in the required time frame & monitor the required approvals Maintain the Bureau of Alcohol and Drug Testing scheduling calendar upon receipt of subpoenas adhering to statutory requirements & process Motion to Quash requests with AG’s Office (i.e. requests for representation) Use personal computer, word processing software, & ODH specific tracking software to generate contract requests, purchase orders, & contract amendments 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field. -Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college AND 12 mos. exp. in secretarial/administrative professional field. -Or 12 mos. exp. as Administrative Professional 2,16872. -Or equivalent of Minimum Class Qualifications For Employment noted above.
