We are currently seeking a Full-Time Administrative Repair Assistant to join our Instrument Repair team at our Operations Center in Hanover, PA. Our Repair Department plays a vital role in helping students, parents, and educators keep their instruments in top playing condition, and we'd love for you to be a part of our team! About the Role As our Administrative Repair Assistant, you'll be the backbone of our repair operations, ensuring smooth workflows and excellent customer experiences. You'll work closely with our Repair Manager to track repairs, communicate with customers, and keep everything running like a well-tuned instrument! Your typical hours will be 40 hours per week, Monday through Friday during the day. More hours may be available seasonally. What You'll Do Repair Billing & Administration: Log all repairs in our system daily, create customer accounts, and invoice all completed work orders and parts by end of business day Process estimate approvals twice daily, convert them to work orders, and re-send estimates to customers on schedule Monitor incoming messages – phone, emails, texts, and chats hourly and maintain accurate tracking of repair purchase orders Department Workflow Support Coordinate instrument pick-ups, track third-party repairs, and assist the Repair Manager with department operations Process loaner instruments daily and generate monthly loaner reports Update labor and part prices in our service system as needed Provide Excellent Customer Service Answer phone calls and respond to customer questions about instrument repairs with professionalism and care Communicate estimates, obtain repair approvals, and work with customers to arrange payment methods Create and send detailed repair estimate spreadsheets for schools, especially during busy summer repair season Requirements Education & Experience High School Diploma or GED required A music background and/or familiarity with band and orchestra instruments is preferred Customer service experience is a plus Required Skills Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning automated accounting software Strong customer service skills with a focus on proactivity and customer satisfaction Excellent attention to detail and accuracy – you'll be working with important details daily! Outstanding written and verbal communication skills Ability to work independently while collaborating effectively within a team Strong organizational skills and ability to prioritize multiple tasks Problem-solving abilities and critical thinking skills Why Menchey Music Service?
