DEPARTMENT SUMMARY
The Administrative Services Manager (ASM) holds a pivotal position, reporting directly to the Associate Dean of Finance and Administration (ADFA), who serves as the chief operating and financial officer for the College of Design (DSGN) and oversees the Central Business Services Office (CBSO) within the Office of the Provost.
DSGN is composed of three schools and one independent department: the School of Architecture & Environment; the School of Planning, Public Policy and Management; the School of Art + Design; and the Department of the History of Art and Architecture. One of six professional schools or colleges at the University of Oregon, DSGN has over 100 tenure related and approximately 80 non-tenure related faculty. These faculty drive undergraduate and graduate degree programs that enroll more than 1,700 undergraduate majors, 500 graduate students, and contribute to the broad liberal arts education of another 2,000 students.
The CBSO, a shared service office, provides service within the Office of the Provost portfolio. The specific services are in the areas of: Finance, Human Resources, Payroll, Purchasing, Contracting, Travel, and Accounts Payable. CBSO serves DSGN, School of Journalism and Communications, Clark Honors College, Lundquist College of Business, the Ballmer Institute, and the College of Education.
POSITION SUMMARY
The Administrative Services Manager (ASM) involves a close collaboration with the ADFA to ensure that the operations of both DSGN and CBSO function with peak efficiency and effectiveness.
In this dynamic role, the ASM is entrusted with providing high-level administrative services management alongside vital analytical, data, and project management assistance. This position demands a high degree of independence, sound judgment, and the ability to handle sensitive and confidential matters with discretion. The ideal candidate must possess exceptional administrative aptitude and interpersonal skills, complemented by political astuteness to engage thoughtfully with a diverse and inclusive campus community. A deep commitment to the university’s mission, values, and a robust culture of workplace safety and learning is not just encouraged—it’s essential.
Beyond administrative responsibilities, the ASM also supervises a classified role, as well as a team of student employees within the CBSO. Supervisory duties encompass hiring, training, and nurturing staff development; administering corrective actions; addressing grievances; conducting performance reviews; completing annual evaluations; setting clear expectations; and overseeing termination processes when necessary.
To excel in this position, the ASM must possess comprehensive knowledge of the University of Oregon, including its diverse programs, personnel dynamics, and the unique challenges the institution faces. Acting as a vital communication link, the ASM frequently navigates sensitive and confidential issues, requiring a thorough understanding of UO policies and protocols.
This role is demanding and may require the individual to extend their hours beyond the standard workweek, including occasional evenings and weekends, to meet the needs of the position.
