Job Description Administrative Specialist Are you a highly organized and proactive administrative professional looking to be the backbone of a busy corporate office? We're seeking a dedicated Administrative Specialist to ensure the smooth and efficient functioning of our operations and provide essential support across various departments. About Your Role In this vital role, you'll be responsible for the seamless administrative support and overall management of our office environment. You'll be the go-to person for a wide range of daily operations, ensuring everything runs efficiently and contributes to a positive company image. Your Responsibilities Will Include: Comprehensive Guest Service: Deliver exceptional service to all guests, fostering a welcoming and positive company image. Access Management: Issue access cards for employees, ensuring secure and efficient entry. Travel & Guest Services: Organize business trips for employees and provide comprehensive support to arriving guests. Correspondence Management: Register and manage all incoming and outgoing correspondence, ensuring proper circulation. Office Supplies & Groceries: Efficiently order and manage office supplies and groceries to keep the workplace well-stocked. HR & Payroll Support: Handle internal team processes, including medical care, periodic examinations, Multisport, PPK, and GUS, while assisting with payroll data preparation. Reception & Communication: Manage all incoming telephone calls professionally. Finance Department Support: Actively support the finance department with various administrative tasks. Ad-hoc Tasks: Carry out additional tasks as assigned by superiors to support overall operations. Qualifications What We're Looking For: Experience: Essential: At least 1 year in an administrative specialist position. Desirable: At least 3 years in an administrative specialist position. Corporate Environment Acumen: Ability to thrive and work effectively within a fast-paced corporate setting. Language Skills: English: Minimum B1 level proficiency. Polish: Fluent. Organizational Prowess: Exceptional organizational skills with a keen eye for detail. Communication Skills: Strong verbal and written communication abilities. Proactive & Responsible: A self-starter who takes responsibility for the efficient functioning of the administration department.
