the state’s economic development agency, is currently hiring one Temporary full-time Administrative Specialist (Administrative Specialist 1) to support our Arts & Cultural Trust Division team. This role involves performing and coordinating administrative tasks specific to the program. The position is expected to last through December 2025.

What will you do:

  • Process grant agreements by documenting receipt dates and updating tracking spreadsheets accurately.
  • Support written and verbal communications with grant recipients regarding contracts, administrative requirements, and filing.
  • Assist with coordinating invoice signature processes and ensure timely submission of grant-related invoices to fiscal.
  • Enter and maintain grant data, including amounts and final report status, in Salesforce, following up on missing information as needed.
  • Conduct eligibility checks for applicants and provide technical support to applicants and panelists, ensuring applicant information is current.
  • Support outreach efforts by communicating grant deadlines and related information to applicants.
  • Coordinate travel scheduling and process reimbursements for Commissioners, Board members, and staff.
  • Assist with Commission and Board meetings, including taking minutes, supporting committees, researching payment statuses, and completing special projects as assigned.

The ideal candidate will possess a combination of some or all the following skills:

  • Demonstrate clear and professional written and verbal communication with clients, reflected through experience with emails, reports, and tools such as Microsoft Office and/or similar platforms.
  • Ability to manage time effectively, prioritize tasks, and meet deadlines in a structured or fast-paced environment, including use of scheduling or task management tools.
  • Demonstrate strong attention to detail, with accurate work in data entry, documentation, or written materials, often using spreadsheets or databases.
  • Illustrate professionalism and interpersonal skills through positive interactions with clients, colleagues, or stakeholders in both in-person and virtual settings.
  • Experience handling confidential or sensitive information with discretion and integrity, following established protocols or compliance guidelines.

What you need to qualify:
Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes duties beyond clerical/secretarial such as interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations.
OR
Associate degree in general office occupations plus one year of related experience;
OR
Equivalent combination of education and experience.
