PeaceHealth is seeking an Administrative Specialist for a part-time role in the Family Birth Center at Southwest Medical Center in Vancouver, Washington. In this role you’ll provide clerical support for the Nurse Managers and departmental programs, as well patient registration, referrals and preauthorization’s, ordering supplies and equipment, etc.
This is a Part Time evening shift position working 48 hours every two weeks. Schedule is Thursday, Friday, and Saturday, either 8-hour shifts or combination of 8s and 10s.

JOB SUMMARY

Responsible for providing diverse clerical and/or administrative support in a hospital setting; work may include but is not limited to planning, organizing and coordinating communications, presentations, spreadsheets, basic project management, data and records management, etc. as defined within the scope of the role. May assist with overflow work from administrative and executive assistants, may also have receptionist responsibilities.

EDUCATION

  • High School Diploma or equivalent (Preferred)

EXPERIENCE

  • Required: Minimum of 3 years of progressively responsible administrative/clerical experience in a professional setting.
  • Preferred: Medical office/hospital experience
  • Preferred: Formal business and/or secretarial training or experience

SKILLS

  • Proficient in Windows based PC applications (including Word, Excel, PowerPoint, and Outlook). (Required)
  • Excellent verbal and written communication skills. (Required)
  • Strong organizational and analytical skills. (Required)
  • Ability to manage multiple priorities, projects and display flexibility in a fast paced and changing work environment. (Required)
  • Ability to work with office equipment. (Required)
  • Basic accounting skills may be preferred. (Required)
Responsibilities
  • Supports departmental programs through designated data collection and entry, creating and maintaining quality documents and project support.
  • May work as recorder in patient care or team conferences.
  • Assists WCS programs (i.e. NICU GAP Program) by accessing CareConnect to register patients, obtain pre-authorizations, scheduling appointments, referral process and other patient throughput or discharge needs.
  • Timekeeping for the department.
  • Performs other administrative functions related to department needs, which may include charge reconciliation, posting provider schedules, front desk duties.
  • Other department needs such as room stocking, NICU laundry, equipment and supply management and special orders.
  • Receives little instruction on daily work and general instructions on newly introduced assignments.
  • Applies knowledge and independent judgment to complete a wide range of assignments and resolve problems.
  • Provides guidance and training to other staff.
  • Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations.
  • Applies knowledge of programmatic and administrative requirements.
  • Frequent contacts include internal and external customers to gather information or provide information.
  • Facilitates workflow for accurate completion of assignment/projects in accordance with work expectations.
  • Performs other duties as assigned.
