Tribal Level: 118 Location: Siletz, Oregon Classification: Full time, Non-Exempt Job Posting Number: 3949845 INTRODUCTION: This position provides administrative support to the Planning Department ensuring smooth office operations, accurate bookkeeping, grant functioning, recordkeeping, and effective communication for the Planning Department. The role will include budgeting / account monitoring, coordinating schedules, assisting with meetings and events, processing correspondence, and supporting planning and emergency management with administrative tasks. The role will coordinate highly technical reporting requirements, and track complex grants within the Department to ensure accurate and timely compliance with funding requirements. The Planning Department consists of Emergency Management, GIS, Transportation, Data Coordinator, Comprehensive Planning, Roads Maintenance, Project Management and related functions. Requirements REQUIREMENTS: Bachelor’s degree in Business Administration or related field. Two (2) years of progressively responsible administrative experience, preferably in a tribal government or public sector setting – OR - an equivalent combination of education and/or experience. Knowledge of: Proficiency in punctuation, capitalization, spelling, and grammar. Budgeting and bookkeeping, data entry Confidentiality and ethical standards in handling sensitive information is essential. Experience in: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database management. Provide administrative support in a government, tribal or community based organization. Coordinate schedules, arrange travel, and process check requests in support of administrative leadership. Budget development / monitoring and cuff account tracking. Ability to: Provide administrative support to leadership and staff. Interact professionally with Tribal Council, Tribal members, staff, and outside agencies. Communicate clearly and effectively, both orally and in writing. Prioritize and manage multiple tasks effectively while meeting deadlines, demonstrating the ability to work independently with minimal supervision. Other: Must be able to travel occasionally outside of the Siletz area. Must be eligible to drive a GSA vehicle, have a driver’s license and maintain automobile insurance. DUTIES: Provides administrative support including budget development, modification and tracking for multiple grants and funding sources. Develop formal correspondence for federal and state partners, in addition to typing, copying, faxing, filing, purchasing, and answering telephones for the department. Receives, sorts, and distributes daily mail and correspondence. Prepares outgoing mail, using postage-metering machine. Assist with scheduling appointments, meetings, and travel arrangements for department staff. Coordinate planning, community meetings, and hosting tribal events. Assist in emergency management planning and exercises. Maintain an appropriate appearance of all public spaces within Planning. Procuring and maintaining contractual services and supplies within Planning. Maintain all department grant files for retention compliance and auditing purposes. Assist in maintaining administrative access to funding agencies for CTSI. Provides back up support all staff within the department. May participate in training programs, attend staff meetings, and share general office housekeeping duties with other staff members. Maintain organized filing systems, both electronic and paper, ensuring confidentiality of sensitive tribal and personnel information. May perform variety of other duties as assigned.
