OVERVIEW

We are seeking a detail-oriented and proactive Administrative Specialist to join our team. This role is essential in providing comprehensive administrative support, ensuring smooth office operations, and delivering exceptional customer service. The ideal candidate will possess strong organizational skills, proficiency in various software applications, and the ability to manage multiple tasks efficiently.

EXPERIENCE

  • Proven experience in an administrative role or similar position is required.
  • Familiarity with front desk operations and phone etiquette is essential.
  • Experience with clerical tasks such as filing, data entry, and document preparation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Knowledge of QuickBooks for bookkeeping purposes is a plus.
  • Bilingual candidates are encouraged to apply to better serve our diverse clientele.
  • Strong organizational skills with the ability to manage time effectively in a fast-paced environment.
  • Previous experience as a dental or medical receptionist is advantageous but not mandatory.

Responsibilities
  • Manage front desk operations, including handling inquiries, restocking supplies, building employees schedule for various jobs.
  • Operate phone systems to assist clients and direct calls appropriately.
  • Provide administrative support through data entry, filing, and document management.
  • Maintain calendars and schedule appointments for the Director as needed.
  • Assist with bookkeeping tasks, time-keeping sending invoices to clients, sending requested documents to clients and vendors
  • Utilize Microsoft Office and Google Workspace for creating documents, spreadsheets, and presentations.
  • Proofread documents for accuracy and clarity before distribution.
  • Support customer service efforts by addressing client concerns and providing information promptly.
  • Maintain organized office systems to ensure efficient workflow. Purchasing supplies, equipments and scheduling deliveries
  • Collaborate with team members to enhance office management processes.
