For more information about the school, please click on the following link: https://www.tianjinjuilliard.edu.cn Role Description The Administrative Supervisor of the Dean’s Office works closely with the Dean to provide administrative support to faculty, oversee project and program coordination relevant to the Dean’s Office, and undertake daily office duties. Responsibilities Office Administration Coordinates appointments and meetings for the Dean Manages meetings for the Dean’s Office including but not limited to meeting preparation, attendance and note-taking Assists the Dean in preparation for internal and external meetings and events, providing Mandarin/English translation as necessary Arranges business logistics for the Dean’s Office including travel, accommodation, hospitality and other tasks as assigned Manages reimbursements and contract processing Maintains contents on web pages owned by the Dean’s Office on the TJS public website Acts as main content editor across all departments for the TJS intranet MyHub under the guidance of the Dean Works with the Dean and the finance department to set budgets, monitor spending and process payments Performs other duties and participates in projects including ongoing professional upskilling as assigned by the Dean Faculty Support Collects and keeps up-to-date records of faculty information Helps faculty access campus resources and answer general questions Administers consultancy contracts for incoming faculty Provides general logistics support to new graduate faculty on relocation Assists the Dean in ensuring the wellbeing of the faculty Interdepartmental Liaison Coordinates with the Office of the CEO in order to ensure smooth running of the executive offices Acts as a liaison for the Dean by monitoring, screening requests and distributing communications from faculty, students and staff and assists in keeping the Dean up-to-date on school initiatives and issues Serves on departmental committees and working groups as assigned Project Management Coordinates project-based work, including but not limited to Commencement and other institutional special events such as symposiums and festivals as assigned by the Dean Manages all Fellowship-related tasks including applications for use of funding, reimbursements and budget-keeping Manages all Faculty Development Grant-related tasks including proposals, reimbursements and budget-keeping Qualifications Bi-lingual fluency in English and Mandarin required A Bachelors degree from an accredited institution of higher education. A degree in music, education or student services preferred A minimum of two (2) years of full-time office work experience Work experience in a joint-venture Chinese/US academic program preferred A deep appreciation for and preferably some educational or professional background in the arts A nuanced understanding of Chinese and western cultures Excellent organizational skills, attention to detail, innovative thinking, technological vision, strong service orientation, energy, enthusiasm, and demonstrated ability to work well with others Experience and success working in a multicultural environment with a clear understanding of and sensitivity to the issues of diversity in both student and workplace settings Ability to exercise discretion and good judgment and maintain confidentiality. Must communicate effectively, both orally and in writing, and work successfully with all constituencies of the School Good problem-solving skills and willingness to learn Demonstrated experience using office software such as MS Office and college administrative computing systems The final candidate will be required to successfully pass a background check.
