POSITION SUMMARY

The Hamilton Regional Laboratory Medicine Program (HRLMP) is a collaborative program funded and operated jointly by Hamilton Health Sciences and St. Joseph’s Healthcare Hamilton. The Program is committed to change and innovation, through education, service and research, to bring the highest quality science into health care for the benefit of the community, and to participate in the clinical application and interpretation of the science
Reporting to the Office Operations Manager and assigned laboratory manager/professional staff, this position supports a variety of activities within the Hamilton Regional Laboratory Medicine Program (HRLMP). All duties are handled in accordance with the mission, vision, values of the HRLMP and SJHH.

QUALIFICATIONS

  • Post-secondary in Office Administration-Health Services Diploma
  • Minimum one-year experience providing administrative support in a hospital setting
  • A minimum of 1-2 years’ experience in a laboratory setting is an asset
  • Demonstrated knowledge of laboratory medical terminology, in particular pathology and virology
  • Experience using laboratory applications including Dovetale / EPIC, Clinical Connect required to process requisitions, look up results for patient reporting
  • Intermediate skill level in MS Office: Word, Excel, PowerPoint, Adobe professional required to prepare reports, agendas, minutes, presentations and educational materials
  • Intermediate typing skill of 45 WPM
  • Clerical testing may be required as part of the selection process
  • Ability to work in a busy team environment, maintain professional relationships with colleagues while handling multiple tasks, conflicting priorities and frequent interruptions
  • Demonstrated advanced oral and written communication skills including grammatical aptitude, good spelling, punctuation and superior proofreading skills

Responsibilities
  • Maintains confidentiality and release of information in accordance with hospital policy at all times
  • Assists in entering public health reports and calling critical test results to providers, register laboratory tests and consultations through the use of Dovetale and HHS Epic
  • Using EPIC, enters requisitions for regional consultations, triage and prepare documentation to send specimens for specialized testing within HRLMP and external partners, look up results and oversight of status of cases, proofread and correct reports from pathology assistants and pathologists
  • Prepare reports, agendas, minutes, databases, presentations and other materials as requested
  • Provide administrative support to troubleshoot issues with the Paradigm database for all staff
  • Assists in administrative preparatory activities for laboratory accreditation
  • Provides departmental support by handling telephone calls, mail distribution, faxes, photocopying, e-mails, correspondence filing and scheduling meetings/appointments in an efficient, accurate and professional manner
  • Provides support for various financial processes i.e. RMA. OHIP billing and education trust fund accounts, travel expenses, purchase orders and requisitions, University Research accounts, timesheets, various invoices and billing statements, etc
  • Ensures all supplies and/or services required by the Program are adequately stocked and/or requisitioned in a timely manner
  • Performs other office duties as assigned by the Manager
