We’re looking for an Administrative Support Assistant with a heart for service and strong administrative skills to join our team! In this unique role, you’ll be the representative payee for individuals with intellectual and developmental disabilities; helping manage personal funds, maintain financial stability, and ensure compliance with state and federal guidelines. You’ll also support our broader administrative and departmental needs, making you an essential part of our mission-driven organization. What You’ll Do: Support Personal Funds & Act as Rep-Payee Help individuals maintain financial well-being and benefit eligibility by: Managing mail, requests, and communications related to individual accounts Reviewing and approving purchases and spending across multiple platforms (Pex, SNAP, gift cards, etc.) Tracking receipts, maintaining transaction sheets, and ensuring accurate documentation Reconciling accounts, balancing checkbooks, and maintaining check registers Preparing and submitting Rep-Payee Reports, Benefit Review forms, and financial updates Maintaining burial trusts, room & board documentation, and other required records Communicating with Social Security, medical providers, guardians, and team leaders Ensuring individuals remain within resource limits and supporting them in meeting financial goals Monthly & Annual Financial Coordination Prepare monthly individual financial summaries used by leadership teams Complete rent rebate documentation, tax materials, annual SSI/SSP statements, and required licensing reports Process pharmacy invoices, monitor EFTs, and prepare room & board invoicing Assemble quarterly and annual financial packets and ensure all documentation is audit-ready General Administrative Support You’ll also assist with broader office and department needs, such as: Answering phones and greeting visitors Preparing documents, maintaining records, and organizing files Coordinating meetings, schedules, and special projects Supporting other departments as needed with administrative or clerical tasks Upholding confidentiality, accuracy, and compliance in all work What Makes This Role Special This position is ideal for someone who enjoys: Working independently with a strong sense of purpose Helping individuals maintain stability, independence, and access to resources Being the go-to person for financial accuracy and documentation Balancing routine processes with tasks that vary daily, monthly, and annually Being part of an organization that values respect, integrity, teamwork, and compassion Why You’ll Love Working With Us Your work directly supports individuals in living fulfilling and stable lives You’ll join a supportive team that values growth and collaboration Every day brings meaningful interactions and opportunities to make an impact You’ll gain specialized financial and administrative experience in a mission-driven field Ready to Apply?
