Description

The Administrative Support Assistant plays a vital role within the Undergraduate Programs Office, providing essential administrative support to ensure the efficient operation of office functions. This multifaceted position works with data entry and organization to support enrollment management, supports overall operations of the academic advising office, and provides support to academic advisors and office leadership for academic advising, HR, special projects, and signature programs. This position also assists with managing flow of students checking in for academic advising appointments and assists with managing and training student employees. The ideal candidate will possess a combination of high-quality service, administrative skills, attention to detail, willingness to collaborate on a diverse range of tasks, and a commitment to supporting student success.

  • Perform registration tasks in Banner, timetable entries, petition processing, and other data management processes.
  • Serve as the first point of contact for the office, including opening/closing the office.
  • Communicate with students/guests in-person, via email, on the phone, and/or online (Zoom, Teams).
  • Assist with office organization and daily operations, including routing requests to the appropriate functional area.
  • Assist with supervision/management of student employees, including training in day-to-day responsibilities.
  • Provide support for special programs and academic advising activities.
  • Engage in special projects as needed to support the office.

REQUIRED QUALIFICATIONS

  • Education:
  • High School Diploma
  • Experience:
  • 2 years of experience working in an office or customer service environment
  • OR
  • 1 year of experience working in an office or customer service environment with an associate’s degree and/or other licenses/certifications
  • Knowledge, Skills, Abilities:
  • Knowledge
  • Office management & organization
  • Basic supervision principles
  • Skills
  • Operate basic office technologies such as multi-line phones, copy machines, scanners, printers
  • Effectively/accurately utilize basic computer software such as Microsoft Office Suite, Outlook, web browsers
  • Effectively/accurately utilize, or learn and then effectively utilize, specialized software used in the office, including but not limited to, Banner, DARS, Adobe Acrobat, DASH, Salesforce, Teams, SharePoint, DocuSign, Microsoft Powerforms

  • Associate’s or Bachelor’s degree preferred
  • Experience:
  • 4 years of experience working in an office or customer service environment
  • Experience working in higher education academic advising environment
  • Experience with the technology/computer programs used in an academic advising office
  • Knowledge, Skills, Abilities:
  • Prefer knowledge of higher ed advising office operations
  • Prefer knowledge of, and skills in using, the specialized software used in the office, including but not limited to, Banner, DARS, Adobe Acrobat, DASH, Salesforce, Teams, SharePoint, DocuSign, Microsoft Powerforms
