Responsible for providing administrative support and executive assistance for two IT department heads (Head Global IT Infrastructer & Technology; Head Global IT Service Management) and the management within the two respective departments. The position drives efficiency through structured agenda management, timely reporting, and reliable stakeholder coordination. It also safeguards professional communication, travel logistics, and meeting preparation at a high standard. YOUR CHALLENGE Plan and execute office-related administrative tasks, allied to internal and external employees within the unit, such as transcribing minutes from meetings, conducting research, processing invoices and expenses, generating reports, creating presentations, filing, setting up for meetings and reordering supplies Provide real-time scheduling support by booking appointments and managing conflicts Plan and prepare travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations Screen phone calls and route callers to the appropriate party Greet and assist visitors Responsible for administrative processes YOUR PROFILE Excellent written and verbal communication skills in German and English Strong time management skills and ability to multi-task and prioritize work Strong organizational and planning skills Excellent interpersonal and customer service skills Attention to detail and proactive mindset Relevant higher educational and professional background Completed commercial apprenticeship in business administration, banking or similar Proven experience in executive and/or personal assistant roles Experience in Project Management Office PMO as well as reporting activities Strong organizational skills Advanced proficiency in Excel, Word, and PowerPoint with strong numerical and IT aptitude Language certificates in German and English Additional education and/or certificates in personal assistant functions or similar We are looking forward to receiving your full job application through our online application tool.
