  • Knowledge of general office procedures including records management systems
  • Ability to establish effective routines for excellent communication with all members of the team to maximize productivity
  • Proven ability and natural inclination to interact with people in professional, respectful and diplomatic manner
  • Self-motivated multi-tasker with strong organizational skills

Responsibilities

As part of the incumbent’s duties, the individual shall be solely responsible for:

  • Retrieving data from the Student Centre to create applicant files (~500 applications), ensuring completeness and notifying applicants of missing documentation
  • Managing correspondence in the MPH Mailbox
  • Creating file folders and tracking all correspondence for general inquiries, current students, applicants and alumni
  • Tracking student records and certificates
  • Maintaining office supply inventory and ensuring the storage room is organized
  • Maintaining the CRM database
  • Uploading Practicum Projects to online platform
  • Updating SGPS membership renewals
  • Preparing travel expense forms for students and guests seeking reimbursement for sanctioned expenses
  • Creating and updating Standard Office Procedures (SOPs) for all positions
  • Archiving applicant and graduate files on a regular basis and in accordance with Western University’s retention policies

In addition, the incumbent will assist the Manager, Program Coordinator and/or the Career and Engagement Officer, when applicable, with:

  • Attending recruitment events and conferences
  • Assisting with event planning and preparation
  • Assisting with CEPH data collection
  • Preparing materials for the Director and Manager for meetings as required
  • Assisting Program Coordinator and Career and Engagement Officer as needed
  • Performing yearly file updates and purges
  • Other duties as assigned
