Description The Administrative Assistant - Administration assists in the Administration Office area as directed by the Executive Assistant to the CEO and provides executive support, including the coordination of meetings. Assists the Executive Assistant with monthly Board meeting preparation. Duties include providing support to the Risk Management and Cardiology committees by preparing agendas and meeting packets, and recording meeting minutes. Assist in daily routine tasks including sorting incoming hospital mail and faxes; maintaining and ordering office supplies; recording minutes for the daily Safety Huddle and weekly Patient Safety meetings; and scheduling conference rooms. Assists in screening patient/family grievances or complaints and directing callers to the appropriate Director. Submits patient/visitor risk incidents to insurance carrier on a weekly basis. Maintains a product recall database, ensuring manufacturer acknowledgement forms are submitted by the relevant departments. Compiles and distributes monthly meeting calendars, and distributes physician on-call schedules. Regarding patient health information, has access to demographics, billing, and limited clinical data relevant to the current encounter. Shift: M-F, 8:00am to 4:30pm, plus call Requirements • Associate Degree in Secretarial Science or equivalent education/experience. • At least three years of experience in a similar position. • Excellent written and verbal communication skills. • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with attention to detail. • Ability to operate all standard office machines. • Proficiency in the use of computers and business software to include Word, Excel, PowerPoint, Teams, and Outlook. • Adept at learning new software (such as Cerner and Midas). • Must possess full range of body motion to pass basic FIT test to include bending, stooping, standing and sitting for extended periods of time. • Must be able to lift and carry up to 30 pounds.
