Administrative Support Representative Job Summary The Administrative Support Representative provides administrative and customer service support to ensure efficient daily operations. This position serves as a primary point of contact for incoming phone calls, assists customers and employees with inquiries, performs data entry, maintains records, and supports various departments with administrative tasks. The ideal candidate is organized, detail-oriented, professional, and committed to providing excellent service while supporting the company's mission and values. Essential Duties and Responsibilities Customer Service * Answer and direct incoming phone calls in a courteous and professional manner. * Assist customers with general questions and route inquiries to the appropriate department. * Respond to customer emails and messages in a timely manner. * Provide accurate information regarding products, services, policies, and procedures. * Maintain a positive and helpful attitude when interacting with customers, vendors, and team members. Administrative Support * Perform data entry and maintain accurate records in company databases and systems. * Prepare, organize, file, and maintain electronic and paper documents. * Assist with submitting purchase orders for weekly recorders in a timely and accurate manner. * Track outstanding reorders and follow up with vendors. * Develop and refine product copy for inventory items listed on the company website. * Sort and submit manufacturer and store made coupons to the appropriate party for reimbursement. * Support various departments with administrative projects and tasks assigned.     General Office Support * Maintain confidentiality of sensitive company and employee information. * Ensure records are accurate, complete, and up to date. * Support special projects and company initiatives as assigned. * Help maintain an organized and professional office environment. * Perform other duties as assigned. Required Skills and Abilities * Excellent verbal and written communication skills. * Strong customer service and interpersonal skills. * Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel. * Strong organizational and time management skills. * Ability to manage multiple priorities and meet deadlines. * High level of accuracy and attention to detail. * Ability to work independently and as part of a team. * Professional demeanor and positive attitude. Education and Experience * High school diploma or equivalent required. * Previous administrative, clerical, customer service, or office support experience preferred. * Experience with data entry and office software preferred. Physical Requirements * Prolonged periods of sitting and working at a computer. * Ability to communicate effectively by telephone and in person. * Ability to occasionally lift and carry up to 20 pounds. * Ability to move throughout the office as needed.
