Description
PCI Productions is looking for an Administrative Support Specialist responsible for the following:   1. Receive, send, sort, scan, prepare and distribute mail 2. Gather information for, prepare and distribute a list of on-site contractors in a format defined by JA management.  3. Maintain various documents, lists and basic spreadsheets in support of the organization.  4. Assist with shredding or assembling the documents to be sent to the shredding facility. 5. Package, label and record these documents per appropriate regulations. Once prepared, arrange shipping.  6. Assist with Records Management tasks. 7. Drafting, processing and finalizing letters and correspondence 8. Coordinate, help prepare, and track electronic tax-exempt certificates as needed 9. Compiling, copying, scanning and distributing documents. 10. Support the Closeout process in checking documents in and out of closeout.  11. Assist customers with system access requests, document retrieval and maintain document storage areas 12. Assist with submitting trouble call tickets to the ESD  13. As needed, assist with battery collection and disposal as the primary POC.  14.  Assist the property custodian with equipment requests. 15. Assist with office moves, cleanouts, organization, and setups.  16. Prepare travel authorizations and vouchers. 17. Services as the ARC Procurement awards coordinator. 18. Assist the COCO with tracking open actions with suspense dates and reporting status at weekly tag with the COCO. 19. Manage the COCO calendar. 20. Create and maintain electronic contract files from replicating specified files in Closeout backlog or other specified location.    REQUIREMENTS * Candidates must have 2 years experience that demonstrates practical knowledge in the above listed tasks. 2 years of higher education can be substituted for 2 years of experience. * Candidate must have advanced knowledge of Microsoft Office applications. * Candidate must be capable of independent performance and able to anticipate the needs of the team. * Candidate must be able to lift 30 pounds * Candidate must be a US citizen.
