  Job Title:   Administrative Support Specialist Department:  301 Reports To:  Director Vincentian Engagement Support Services FLSA Status: Exempt Safety Sensitive:  Yes Job Summary: An Administrative Support Specialist will work to maintain a well-organized and efficient office environment. With strong attention to detail, emails, reports, informational flyers and other communication pieces will abide by organizational standards. They should be able to work independently and within a team to meet deadlines and department goals.  They should be proficient in office management systems and procedures. The specialist will be responsible for excellent internal and external customer service and support of departmental projects. Primary responsibilities will include administrative duties to support the Chief Mission Engagement Officer along with our Board of Directors Council President and Committee Chairs. The Specialist will also work to support our 80 conferences as needed.    Specific Duties: * Order all office supplies and maintain needs of the office * Keep a well-organized and clean office environment * Maintain online Bulletin board and Conference Directory * Maintain website Vincentian page * Create new member badges * Support weekly mass preparations * Support Board of Directors, Board President and Board Committees * Support quarterly general membership meetings * Support Chief of Mission Engagement Officer and other department members * Represent the department in organizational meetings or events with community partners. * Performs any other duties assigned by Director * Participate in and serve as a model for SVdP’s Culture of Philanthropy, and ensure SVdP volunteers feel welcomed and appreciated * * Volunteer engagement and appreciation, as well as Culture of Philanthropy participation are part of all job descriptions at SVdP, and a very important part of the organizational culture and values   Required Skills/Abilities:  * Commitment to & passion for the organization’s faith-inspired mission of serving  * Excellent interpersonal skills, communication skills both written and oral * Creative in finding ways to accomplish goals, within the context of organizational priorities * Ability to set and work towards goals, in collaboration with other SVdP leaders and partners * Comfort with technology; high computer literacy * Multi-tasking does not cause you negative stress; you work creatively and independently yet well with a team * Flexible and adaptable to meet the changing needs of the organization and community  * Superb customer service, patient, open, non-judgmental, interest in working with individuals with a variety of backgrounds and experiences * Can both take initiative and accept direction  * Easy to work with and positive in a group dynamic   Education and Experience: * Associates Degree  * 1+ years experience in office setting/administrative setting * 1+ years experience in Microsoft office suite * 1+ years experience in CRM systems and Canva or other related design software  * Safe Environment Training or Safeguarding training required within the first 90 days * OFE training within the first 6 months preferred   Physical Requirements:  * Able to stand, walk, sit, bend, reach and lift up to 20 pounds are required for this position * Travel on a regular basis in state is required.  * Must have valid driver’s license and clean 39-month MVR and be able to be put on SVdP company vehicle insurance or own reliable transportation * Able to work early mornings, late evenings, weekends and holidays
