QUALIFICATIONS CONSIDERED:

  • Post-secondary education relevant to administrative, legal, or human services fields.
  • Proficiency in Microsoft Office Tools
  • Ability to relate and interact in a supportive, courteous, and understanding way with the public, professionals in the community, the people we serve, and colleagues
  • Adaptability, emotional resilience, and the ability to manage competing priorities in a fast-paced environment where urgent situations may arise is an asset.
  • The ability to work co-operatively with, support and assist staff in the performance of their duties.
  • Effective communication skills and the ability to relate effectively to people.
  • A good understanding of English grammar and the ability to edit written material,
  • Bilingual- French Speaking would be considered an asset
  • Exceptional organizational skills and superior time management skills.
  • The ability to type quickly and accurately as well as good computer skills.
  • Knowledge of Agency services.

Responsibilities
  • Provide administrative and clerical support to staff including typing, filing, organizing case files, data entry, and correspondence.
  • Prepare and distribute correspondence, forms, and other documents as needed
  • Maintain and update client and staff contact lists, calendars, and directories
  • Greet clients, visitors, and staff in a professional, trauma-informed, and culturally sensitive manner
  • Respond to in-person and telephone inquiries with discretion and empathy
  • Maintain a welcoming and safe reception area for children, youth, and families
  • Coordinate with caseworkers, supervisors, and external partners as needed
  • Provide reception coverage
  • Provide support in coordinating and scheduling supervised access visits and volunteer driver assignments, in collaboration with agency staff, resource parents, and families served by the Agency as required.
  • Ensure accurate and timely data input and integrity in CPIN and any related agency systems; generate reports and maintain confidentiality of records.
  • To attend and participate and take minutes in Team/Department meetings, staff meetings, in-service training sessions and other meetings as requested.
  • To provide the personal information in a manner that is consistent with the legislative and regulatory requirements, CPIN business harmonization and the Agency’s strategic directions.
  • To receive and respond to all personal information requests regarding information in the custody of the Agency and commission legal documents as required.
  • Perform other duties as assigned based on service demands.
