Description

GH Logistics is seeking an Administrative Systems Coordinator to join our core Admin Team and take on urgent, high-priority administrative work across multiple companies.
This is a hands-on role — you’ll be in the trenches with our paralegal, financial admin, and business ops admin, tackling the day-to-day operational demands that keep our business moving. From urgent SOP rollouts to compliance packet prep, banking documentation, vendor records, and litigation support — you’ll be the one making sure tasks are done quickly, accurately, and documented for the future.

REQUIREMENTS

  • 2+ years of experience in administrative support, operations, or project coordination
  • Fast, accurate processor who can handle multiple high-priority tasks at once
  • Detail-oriented with strong follow-up habits
  • Comfortable in high-urgency situations with shifting priorities
  • Proficient in Google Workspace and familiar with document management systems
  • Ability to work with sensitive, confidential, and legal information
  • Based in or relocating to San Antonio, TX (in-office role)

PREFERRED QUALIFICATIONS

  • Experience in logistics, transportation, or legal administration
  • Knowledge of compliance processes (DOT, FMCSA, HR onboarding, vendor records)
  • Prior experience supporting multiple departments simultaneously
  • Familiarity with AI tools like ChatGPT for drafting and organizing documentation

Responsibilities
  • Work directly with the Admin Team to process urgent administrative requests from leadership
  • Support and coordinate Standard Operating Procedure (SOP) rollouts across legal, finance, compliance, HR, and safety
  • Prepare and organize documentation for legal, banking, and compliance needs
  • Assist with incident, litigation, and risk management files as directed by the Paralegal Administrator
  • Maintain and update document control systems in Google Drive, Airtable, or Notion
  • Track and follow up on high-priority tasks to ensure deadlines are met
  • Route and distribute incoming work to the right admin team members while owning key tasks yourself
  • Keep records organized and ready for audits, insurance reviews, and leadership briefings
