JOB SUMMARY:

We are seeking a detail-oriented and customer-focused Adminstrative Team Coordinator to join our team. The ideal candidate will be responsible for managing various aspects of restoration projects, including customer service, scheduling, vendor and subcontractor process management, billing tasks, and providing administrative support to construction project managers and estimators. This role requires strong communication skills, multitasking abilities, a knowledge of the construction industry, and a proactive approach to problem-solving. The Team Coordinator will play a crucial role in ensuring the smooth execution of restoration projects while maintaining excellent customer satisfaction.
Full-TIme. Pay Rate: $18 - $23/hr

REQUIREMENTS:

  • 3+ years of proven experience in an administrative role, preferably in the construction or restoration industry.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication skills, both verbal and written, with a customer-focused approach.
  • Proficiency in Microsoft Office suite and project management software.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and accuracy in all tasks performed.
  • Knowledge of restoration processes, building codes, and regulations is a plus.
  • Willingness to learn and adapt to new technologies and industry best practices.

Responsibilities

BILLING TASKS:

  • Assist with preparing and reviewing invoices, change orders, purchase orders, work orders, and punch lists ensuring accuracy and compliance with contractual agreements.
  • Coordinate billing processes with accounting and finance departments, resolving any discrepancies or billing issues.
  • Maintain records of billing activities, payments received, and outstanding balances.
