Position Summary   This position is funded by a grant for a duration of time as defined by the grantor.     Provides specialized administrative support to the Family Planning Department, including data entry, appointment scheduling, reporting, and coordination of program activities. Analyzes, processes, and maintains financial, statistical, and policy-related data, records, and reports to ensure accuracy, compliance, and effective program operations.    Pay Grade: 43  Salary Commensurate with Experience and Education   Minimum Qualifications  * Four (4) years of experience in appropriate clerical, bookkeeping, data processing, or statistical work; and graduation from an accredited high school diploma or possess a GED; OR  * Three (3) years of experience in appropriate clerical, bookkeeping, data processing, or statistical work; and one (1) year of college study (30 semester hours or 36 quarter hours).  * PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.    Duties and Responsibilities  * Assists with overseeing the clerical operations for the Family Planning Clinic, providing technical guidance and ensuring accuracy, efficiency, and workflow coordination.  * Monitors and ensures accurate patient encounter coding, documentation, and closure across all clinic sites to maintain compliance and reporting integrity.  * Prepares and maintains required daily and monthly program reports, including statistical, financial, and operational data.  * Ensures compliance with HIPAA and Title X requirements, including enforcing confidentiality standards and coordinating mandatory staff training.  * Processes purchasing and financial documentation, including preparation of encumbrances and requisitions for medical supplies, equipment, and clinic materials.  * Maintains clinic administrative operations and program support functions, including supply oversight, appointment notifications, updating manuals and protocols, maintaining leave records, conducting satisfaction surveys, and assisting with community outreach activities.  * Performs other related duties as required or directed.    KSAs  * Knowledge of Health Department and Title X regulations and policies, including program compliance requirements.  * Knowledge of physical, psychosocial, and socioeconomic factors impacting women’s reproductive health, with commitment to culturally competent and unbiased service delivery.  * Ability to plan, organize, and manage workflow effectively while maintaining continuous mental alertness and sound judgment.  * Ability to communicate effectively, both verbally and in writing.  * Ability to establish and maintain effective working relationships, resolve problems, and interact courteously with staff and the public.  * Proficient in Microsoft Office (Word, Excel, and Access) and other County software programs.    Special Requirements  * Must possess a valid Tennessee driver's license or secure one by date of employment.  * Must have access to an operable automobile and meet the County requirements for automobile insurance upon date of employment.  * Must be able to work at multiple locations as needed.   * Must be able to type 25 wpm.    Disclaimer This position is subject to a background check for any convictions that have a substantial relationship to potential job duties.
