Job Description:
ESSENTIAL JOB DUTIES: The Administrative Technician is responsible for providing administrative and technical support to the Director, Deputy Director, Assistant Director, Administrator and the Administrative Projects Officer II. This includes tasks such as scheduling, calendar and appointment management, creating and/or editing correspondence, processing supply orders, legal documents, invoice logs, division payroll, other communications and reports; meeting material development, monitoring important deadlines to track progress, professional customer service/public relations skills to address concerns, questions, and matters pertinent to agency policy and procedures, problem solving and general trouble shooting. Coordinate procedures related to administration records management and aid in records management as the agency’s records retention manager. This position will also serve as the agency’s Assistant Communications Coordinator for agency phones and cell phones, assist with group fishing permit waivers, maintain confidentiality and perform related work as required.
Requirements/ Qualifications
Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.
Preferred Qualifications: Experience in office, administrative, technical, or support work; or in identifying budget, staff, or equipment needs; or in collecting and interpreting statistical, financial, program, or administrative data; or in interpreting laws, rules, regulations, and processes; or in reviewing and evaluating administrative records and reports; or in supervising office or technical staff.
KNOWLEDGE, SKILLS AND ABILITIES: Experience or training in office management practices and procedures, skilled in Microsoft Word, Outlook, Excel, Power Point and Access; advanced computer skills to develop presentation materials, spreadsheets, and assist others with the same. Ability to: effectively communicate, organize and present plans, objectives, facts and opinions orally and in writing, work independently or with a team; maintain confidentiality. Must be detail oriented with a proven ability to meet deadlines. Must be a self-starter, flexible and willing to learn.
Preferred: Previous executive-level administrative assistance experience, knowledge of state government policies and procedures, and records retention requirements.
Other: Valid driver’s license or the ability to provide independent authorized transportation as occasional in-state travel may be required.
