Description
Department : Assets & Facilities Reports to : General Manager – Assets & Properties Role Introduction Providing essential assistance to A&F Team by handling administrative tasks, organising schedules and ensuring smooth running of daily office administration and communication between different departments. Key Responsibilities: Provide secretarial and general administrative support to the General Manager and the Assets & Facilities Team, including organizing schedules, arranging meetings, maintaining physical/electronic filings, data input, booking facilities and other logistics Prepare timely and accurate operation reports and upkeep the asset inventory and budgetary control record; edit and prepare electronic documents & handle data entry Handle any ad-hoc requests from section heads and managers Provide procurement and finance administrative support, including raising Purchase Requisitions, following up on Purchase Order opening/closing status, maintaining procurement & financial records, preparing Goods Received Notes, arranging payment etc. Support staff on-boarding / off-boarding processes and other HR related matters for the team Coordinate various administrative processes for the team(s) Organize and coordinate meetings with internal and external parties Ensure smooth running of daily office administration Requirements: HKCEE / HKDSE with formal secretarial training or equivalent qualification Minimum 3 years of secretarial/ administration experience. Working experience in facility or property management will be considered an advantage Strong planning and organizing skills and attentive to details Ability to work independently and a good team player Fluent in both written and spoken English and Chinese Proficiency in MS Office (Word, Excel, PowerPoint and Chinese Word Processing) Knowledge of facility or property management practices and business ethics is preferred Full-time Personal & Application Information We are an equal opportunity employer.
