Description

MPA Omagh are seeking an organised, proactive and experienced Administrative Officer to join our team. This Band 4 role plays a vital part in ensuring the smooth day-to-day running of administrative services, supporting clinical and operational teams to deliver excellent patient care.

Responsibilities
  • Provide comprehensive administrative support to managers and teams.
  • Manage diaries, schedule meetings, prepare agendas, take and distribute minutes.
  • Coordinate office communications, including correspondence, emails, and telephone calls.
  • Maintain accurate records and filing systems (manual and electronic), ensuring confidentiality and data protection compliance.
  • Support HR-related administrative tasks such as recruitment coordination, training tracking, or absence reporting.
  • Prepare reports, presentations, and data summaries as required.
  • Liaise with external organisations, stakeholders, and service users on behalf of the team.
  • Monitor and order supplies, maintain inventory, and liaise with procurement services.
  • Ensure office procedures are followed and assist in developing new administrative systems.
  • Provide guidance and support to junior administrative staff or apprentices, where applicable.
