Responsibilities

PURPOSE OF THE ROLE:

The purpose of this role is to provide essential administrative support to ensure the smooth day-to-day operations of the store. Working onsite, the Administrative Assistant will be the central point of coordination for stock management, vehicle processing, and customer support activities. This role is crucial in bridging communication between the sales team, service department, and Inventory to optimise the stores workflow and maintain accurate records.
By being onsite, the role offers the opportunity to respond quickly to operational needs, manage physical stock, and collaborate closely with the team, ensuring the store operates efficiently and effectively.

JOB ROLE SPECIFICS:

  • Manage stock processes, including weekly inventory checks, ensuring accurate tracking and timely updates for all available cars at store.
  • Handle customer queries via CX channels and monitor Datadog alerts for odometer mileage issues.
  • Process and manage AutoTrader advert updates, including spec checks and key feature enhancements, to ensure vehicle listings are accurate and appealing.
  • Relist vehicles after cancellations or returns at store
  • Take ownership of inbound transport coordination.
  • Maintain our Partner inbox, ensuring all inquiries are handled promptly and professionally.
  • Support finance-related tasks, including resolving queries and managing vehicle returns estimates.
  • Update pricing boards, manual trackers, and other operational documents to reflect current stock and dealership priorities.
  • Running HPI checks on cars direct from auction
  • Updating V5 numbers within Internal IMS system for PX cars we are retailing.
  • Collaborate with the sales team, participating in cross-training activities to streamline processes and improve operational efficiency.
  • Any other ad-hoc tasks
