The Temporary Administrator, Community Scholarships provides essential administrative and programmatic support during the peak scholarship award season. This role supports the Community Scholarships team with data management, recipient communications, donor stewardship support, and operational coordination to ensure accurate, timely, and equitable distribution of scholarship awards. NOTE: This is a program-funded, temporary, full-time hourly position designed to support seasonal operational needs. The role does not include benefits and has a defined start and end date approximately 6 Months (March-September) Essential ResponsibilitiesScholarship Data and Award Processing Support Update, audit, and verify scholarship recipient information within the scholarship application platform Audit and reconcile 1,000+ scholarship award installments to ensure accuracy and compliance Maintain and update scholarship award renewal and tracking spreadsheets Update outreach and contact tracking spreadsheets to support reporting and communications Student and Donor Communications Support Send scholarship thank-you video requests to recipients Review, screen, and prepare approximately 700–800 ThankView videos for donor distribution Collaborate with the Scholarships Administrator to draft, prepare, and send recipient communications Respond to student inquiries via email with professionalism, accuracy, and empathy Support donor stewardship efforts through timely and accurate communications Administrative and Team Support Provide hands-on support to the Community Scholarships team during the peak awards cycle Manage multiple tasks and deadlines simultaneously in a fast-paced environment Ensure a high level of attention to detail, particularly related to student payments and donor-facing materials Maintain organized records and documentation in support of program compliance and reporting Perform additional duties as assigned to support the successful execution of scholarship operations Ability to work full-time, Monday through Friday, for the full duration of the temporary assignment Strong database management and data entry skills Demonstrated ability to manage multiple projects concurrently Excellent customer service orientation and written communication skills High attention to detail, particularly related to financial data and student awards Ability to work independently as a self-starter while contributing effectively to a team environment Strong problem-solving skills and sound judgment Professionalism, adaptability, and composure under pressure Preferred Experience in scholarships, higher education, nonprofit administration, or donor-facing programs Comfort working with large datasets, spreadsheets, and tracking tools Familiarity with scholarship platforms or CRM or database systems Core Competencies Data Accuracy and Attention to Detail Customer and Student Service Excellence Administrative and Program Support Multitasking and Time Management Communication and Collaboration Problem Solving and Initiative Reliability and Follow-Through Equity-Centered Service Mindset Work Environment and Physical Demands Onsite work environment based in San Diego, California Fast-paced, deadline-driven setting during peak scholarship season Ability to sit, stand, walk, or move throughout the workday, with or without accommodation Ability to view and use a computer screen for up to two hours at a time Ability to type and enter data using a computer keyboard or similar tools Ability to communicate effectively by email, phone, or in person Ability to remain seated or standing for extended periods, with or without accommodation Additional Information This is a temporary, program-funded position with a defined end date This role is full-time hourly and does not include benefits Continued employment beyond the assignment end date is not guaranteed Hourly, Nonexempt, Temporary, Full-Time; $20.00-$25.00 per hour (San Diego Foundation is committed to practices that promote pay equity and transparency.
